Effective Event Automation: Eventin + OttoKit (formerly SureTriggers) Integration

Eventin and OttoKit integration

Are you feeling overwhelmed by repetitive tasks and struggling with attendee engagement with your events on WordPress? Then event automation is your answer!

Event automation uses technology to simplify and improve event management tasks, such as registration and data collection, by automating repetitive tasks, freeing event organizers to focus on event projects.

Moreover, with event automation, you can create engaging content, build relationships with attendees, and improve their experience. This involves the use of specific software and tools.

Eventin is an event management WordPress plugin that offers a range of features, including event attendee management, maintaining recurring events, event calendar view, and showcasing speakers/organizers.

OttoKit (formerly known as SureTriggers) is a powerful automation tool used to simplify repetitive tasks and workflows across various applications.

The integration between Eventin and OttoKit can help with event automation by allowing you to create workflows that automatically perform tasks like automating event updates and collecting and storing important data.

How to Automate Your Workflow Using Eventin and OttoKit (formerly SureTriggers)

Automating your workflow can remove repetitive tasks, freeing up time for creative and strategic work on your event planning projects. While integrating software and tools to simplify processes, you can reduce errors and boost efficiency and productivity.

Now, you can automate your workflow using Eventin and OttoKit.

So, let´s check out the process:

Create automation and action

Creating an OttoKit workflow with Eventin requires only a few steps. Here, I have categorized the process into two simple steps:

  • Connect OttoKit and the data passing
  • Automate the data storing

Step-01: Connect OttoKit and the data passing

To integrate Eventin with OttoKit, go to your WordPress site Dashboard > Select OttoKit plugin from the left sidebar. A new dashboard will open like this.

Click on the create new workflows button and provide the workflow name, and hit create.

Connect OttoKit (formerly SureTriggers) and the data passing

Now you will get into the automation page. Here, click on the “Add First Step” button. And here you can choose Eventin and the event type from the dropdown list.

Let’s say you are creating a workflow for the “Attendee Updated“. Trigger.

Attendee updated

Follow the steps, and on the configure button, you will get the webhook. Copy it.

Adding the webhook

Now go back to the Eventin settings and webhook section. Here, you need to add the webhook and paste the webhook URL. And then hit the create button.

webhook setting

Now, go to Site Attendees from the same site and select ´Edit´ on any attendee´s list to test the integration.

Attendees list

Change the attendee´s information and update it from the right ´Update´ button.

Update attendee profile

Let’s say you changed a speaker´s name or updated any other information. You will automatically get the updated data on your OttoKit (formerly SureTriggers) site whenever any action is taken.

For this, let´s head over to the Speakers section from your site dashboard and select ´Edit´

Speakers and organizers

Once updated, go to the OttoKit tab. Here, you can see that it is showing the updates you have made. This means the webhook is working correctly.

So, let’s ´Save´ it and move forward.

Automate data storing

Step-02: Automate data storing

Now, whenever you receive any update, you can automatically store your Eventin event updates on your favorite platform or a particular file.

Here, click on the plus icon to automate the data storing system –

Let’s say you want to store the data on Google Sheets. So, let´s search and select it from the list.

Select which event you want to store the data for!

Select the suitable email address on which you want to store the data.

choose-account

Now, complete the process by proceeding with ´Continue´.

continue-account

Once the email address is included on the platform, go back to your site´s dashboard and select the newly added email ID from the list.

After completing all the settings, activate the publish option and enable the workflow. Once done, you will get the information about your configured app.

Trigger the automation

Automation triggers are the key behind automated workflows, acting as virtual tripwires to start specific actions when conditions are met. They simplify tasks and keep event management running smoothly, defining when automation should start and which contacts or data should be processed based on actions like form submissions or specific dates.

These are the supported Eventin triggers by OttoKit:

  • Event Create – Runs when a new event is created.
  • Event Updated – Runs when an existing event is updated.
  • Event Deleted – Runs when an event is deleted.
  • Event Restored – Runs when an event is restored.
  • Speaker Created – Runs when a speaker is created.

  • Speaker Restored – Runs when the speaker is restored.
  • Attendee Created – Runs when the attendee is created.
  • Attendee Updated – Runs when the attendee is updated.
  • Attendee Deleted – Runs when the attendee is deleted.
  • Attendee Restored – Runs when the attendee is restored.
  • Schedule Created – Runs when a schedule is created.
  • Schedule Updated – Runs when an existing schedule is updated.
